Overview
Watermarking is a simple but powerful way to protect the authenticity, ownership, and confidentiality of your documents. Using CaseGuard’s document redaction software, users can apply custom text or image watermarks to secure files from unauthorized use, prevent tampering, and strengthen the credibility of their work.
Organizations that frequently produce redacted reports, legal files, or sensitive documents can use CaseGuard Studio to automatically apply branded watermarks, such as a company logo or a “CONFIDENTIAL” label across thousands of pages with ease. Adding your logo once within CaseGuard can be used repeatedly on any document without any manual work!
You can also import files with a list of values (such as names or IDs) to generate multiple watermarked output files automatically. This feature is especially valuable for legal teams, government agencies, and enterprises that rely heavily on secure, traceable document redaction workflows.
Follow the steps to add a watermark to your documents
- Click the Watermark
button in the left toolbar and select “Add New Watermark.”
- Enter a name and short description for the Watermark and click “Continue.”
- Select the Watermark settings you want to add to your file
- Select the Watermark type:
- Text: Create your own text-based watermark
- Image: Upload an image
- Dynamic Text: Import a .csv file to reference a column of data to be used as Watermarks. For example, if File A contains a column on company names, CaseGuard will export File B multiple times with different watermarks (company names) for that column.
- Based on the type, enter the text or image you would like to apply as your Watermark. For dynamic text, the input file will be added in the next steps.
- Customize Watermark: Select the font, font size, color, and transparency of the watermark.
- Adjust Appearance: Set the background color, transparency, rotation degree, and scale.
- Adjust Position: Choose the alignment, vertical distance, and horizontal distance of the watermark on the page.
- Add Bates Stamping & Dynamic Tags:
- Bates Numbering is a method of sequentially numbering pages with a reference number.
- Dynamic Tags add a watermark that follows a pattern you specify. In CaseGuard Studio, you can add a tag that adds today’s date, the email, name, username, or agency associated with your CaseGuard account.
- Optionally, layer multiple watermarks by selecting
Add Watermark.
- Preview the watermark by zooming in using the tools under “Preview Image.”
- Click “Next.”
- Choose whether to apply the watermark to All Pages or Selected Pages (the window may vary based on watermark type).
- For dynamic text, upload the input file under the “Input File Name” field (this does not appear unless dynamic text is selected).
- Click “Apply,” and your watermark will be applied to your document(s). For Dynamic Text, map the column from your “Input File” to be used as Watermarks.
- One finished, the watermarked files will be added to the project’s file panel.
Manage your Watermarks
- Click
Watermark in the left Toolbar and then select Manage Watermarks. The Manage Watermark Templates window will populate.
- Within this window, you can:
- Add a new watermark
- Search for saved watermarks using the search bar on the top. The number in the search bae indicates the total number of watermarks saved in your CaseGuard Studio account.
- Click
Edit under the operations to revise existing Watermarks.
- Click
Duplicate to reproduce the same Watermark.
- Click Delete
to remove a Watermark (this action cannot be undone).
Apply an Existing Watermark
- Click
Watermark in the left toolbar and then select Apply Existing Watermark. A popup will appear.
- Choose an existing watermark from the “Template Name” dropdown.
- Click “Continue”
- Customize the Watermark as needed.
- Click “Apply.” The Watermark will be applied to your document.
- Once processed, the Watermarked document(s) will appear in the project files panel.
