One of the key features available in
TeamSpace is the ability to assign a
status to each file within a project. Statuses help teams track progress, communicate updates, and maintain an organized workflow. In this article, we will outline each available status and explain how to use them effectively.
TeamSpace currently supports
seven file statuses:
1. New
Indicates that the file has just been added to the workspace. No work has been started yet.
2. Draft
The file is actively being worked on. Users may be reviewing, preparing, or performing redactions or updates.
3. No Redaction Needed
Used when a file has been reviewed and determined to require no redaction. It can be moved forward in the workflow without further action.
4. Ready to Review
The file has been fully processed and is ready for a secondary review or approval.
Unique capability: At this status, you can attach an exported file (redacted version) for comparison.
5. Rejected
Assigned when the reviewer finds an issue or determines revisions are needed. The file should be returned to the appropriate user for corrections.
6. Completed
The file has passed review and is finalized.
Unique capability: Like “Ready to Review,” this status allows you to attach an exported file so that both the clean copy and the redacted version can be stored together.
7. Exported File
Indicates that the file has already been exported from CaseGuard Studio. Often used to reference files that have already been released or delivered outside the system.
Attaching an Exported File
Ready to Review and
Completed support attachment of an exported file. This lets users store the original (clean) file alongside the redacted version for easy access.
To attach an exported file:
- First export your file from CaseGuard Studio.

- Now, open your TeamSpace and assign the exported version as the “exported file” within TeamSpace.

- Once the exported file is assigned, you will be able to attach it to any file marked Ready to Review or Completed.

Conclusion
Using file statuses in TeamSpace is an effective way to streamline project management, maintain clarity across teams, and ensure every file moves through the redaction workflow efficiently. By understanding what each status represents and leveraging features like attaching exported files you can keep your projects organized, improve collaboration, and maintain a clear audit trail from start to finish. Adopting consistent status practices helps ensure that everyone involved in the process stays aligned and that files reach completion with accuracy and accountability.
