Use Case Example
Imagine you’ve received a large batch of court documents that contain sensitive information, including Social Security Numbers, phone numbers, and internal employee IDs. Instead of manually searching for each type of information, you can create a custom search list in CaseGuard Studio. This allows you to define and save the specific terms and patterns you need to catch, ensuring consistency and accuracy across all future redactions.
Open CaseGuard Studio Launch CaseGuard Studio on your computer.
Access Your Document Project Open a project that contains a document where you want to apply your custom search list.
Navigate to the Search Panel In the top-left toolbar, click on “Search” to access the search tools.

Open the Search List Menu In the left-side panel, expand the “Search List” dropdown. Here, you’ll see the default search lists provided by CaseGuard Studio.

Create a New Search List Click the plus (+) button on the right to create a new custom search list.

Name and Describe Your Search List Provide a name for your search list. You may also include an optional description.

You can either:
- Add Entries to Your Search List
- Add entries manually, or Import entries from a
.txt
, .csv
, or .xml
file.
- For this example, we’ll manually add entries.

In the “Word(s) to Find” field, enter the specific word or phrase you wish to redact.

- Click “Save and Add New” to add the word to your list.
- Optionally, assign a PII category and a redaction reason for each entry.
- Choose whether to match the word as a whole word, apply case sensitivity, or use wildcards.
Add Pattern-Based Entries (Optional) To include patterns that detect broader PII types (e.g., Social Security Numbers, phone numbers):

- Click on the “Pattern” tab at the top of the window.
- Click “Save and Add New” to include it in your search list.
- Finalize Your Search List Once you’ve added all the desired terms and patterns, click “Continue” in the bottom-right corner to save your search list.

Apply the Search List After finalizing, you can apply your search list to the document. CaseGuard Studio will then scan the file and display all matches in the Activity Panel for further review and redaction.
