How to: Easily Export Emails as a PST for CaseGuard

When working with email files using CaseGuard’s document redaction tools, you may need to upload your mailbox or email chains for PST redaction. To do this, Outlook emails must first be exported as a PST file. Many users are unsure where this option lives inside Outlook, so this guide will show you exactly how to export your emails as a PST file quickly and easily.  This process will allow you to export your emails as PST files so you can add them to CaseGuard and redact them.

Follow These Steps to Export an Email from Outlook as a PST

  • First, open Outlook on your computer and make sure you’re logged into the account that contains the emails you want to export.

  • Once you’re in Outlook, go to the File tab located in the top-left corner of the window.

  • From the menu, select Open & Export, then click on Import/Export to launch the Import and Export Wizard.

  • In the wizard, select Export to a file, then click Next.

  • Choose Outlook Data File (.pst) as the file type you want to export, and click Next again.

  • Now, select the folder or email chain you want to export. This can be your entire mailbox, a specific folder, or an individual conversation. Make sure to check the box labeled include subfolders if you want to ensure all content is included. Then click Next.

  • Click Browse to choose a destination on your computer where you want to save the PST file. You can also rename the file here if needed. Once you’ve selected the location, click Finish.

  • If you’d like to protect the PST file with a password, you’ll have the option to set one. This step is optional — you can leave the fields blank if you prefer not to set a password.

Your PST file has now been successfully exported and is ready to be used in CaseGuard. Open up CaseGuard, create a new project, and add the PST file just like you would with any other supported file type to begin your PST redaction workflow.
