How to Add Redaction Reasons to Multiple Redactions in CaseGuard Studio

Imagine you’re tasked with redacting sensitive information from a large document containing confidential details such as personal identification numbers, financial data, and proprietary information. After completing the redactions, you need to provide specific reasons for each redaction. Rather than adding these reasons individually to each redaction, you can select redactions in bulk and add your desired reasons.
In this article, we will walk you through the steps to add redaction reasons to multiple redactions within your document using CaseGuard Studio. This guide will cover how to apply and manage redaction reasons efficiently, including a process to update your report with these details.
Step 1: Open CaseGuard Studio and Your Document
Start by launching CaseGuard Studio. You can either create a new project and upload your desired document or open an existing project if you’ve already started working on this file.

Step 2: Apply Redactions
Once your document is open, begin redacting sensitive information. Apply multiple redactions to the document, selecting the areas you want to redact.

Step 3: Select Redactions in Bulk
After applying your redactions, you can select multiple redactions at once. Click on any redaction box and either use Ctrl + A to select all redactions or hold Ctrl and left-click to select specific redactions individually.

Step 4: Add Redaction Reasons
With the desired redactions selected, navigate below the document preview to the Redaction Reasons dropdown menu. Here, you can add the appropriate reasons for your redactions in bulk. You can add as many redaction reasons as necessary. This same method also works if you need to remove redaction reasons from multiple redactions.

- In addition, you can also add redaction reasons in bulk by navigating below your document preview and clicking on the pencil icon below operations. This allows you to choose a specific PII to bulk update your redaction reasons. You can see to the left how many redaction points that specific PII has

Step 5: Review Your Redaction Reasons
Once you’ve added the redaction reasons, it’s important to verify that they’ve been applied correctly. To do this, click the top dropdown menu to the left of the magnifying glass and select Preview Mode. In this view, you’ll see the reasons listed next to each corresponding redaction, confirming that everything is set up as intended.

Step 6: Update Your Report
After reviewing your redactions, it’s time to update your report with the new redaction reasons. First, save your work by navigating to File > Save in the top left corner. Then, open the reports menu by clicking on the icon with a page and a bar graph in the top left toolbar.

In the Print Reports window that opens, select the Exemption Log from the report dropdown menu located in the middle of the screen. This will display the updated redaction reasons. From here, you can print the report and share it with the relevant parties.
