Chain of Custody and Redaction Reporting in CaseGuard Studio

Each file you work on in CaseGuard Studio—whether audio, video, documents, images, or PDFs—automatically generates chain of custody documents. Here’s how to manage and utilize these features effectively.

Project Setup and Redaction Reasons

  1. Project Information: When creating a project, input the name of the requestor, case number, and date of request. This information will appear in reports.
  2. Redaction Reasons:
    • In AI automatic detection, use the “reasons” dropdown menu to select why something is redacted.
    • Add custom reasons by clicking “add new reason,” which opens a window to input details like legal or statutory basis for withholding material. Save your reason after entry.
    • In manual detection, find the reasons dropdown menu in the panel at the bottom of your workspace to select or change redaction reasons.

Editing Redaction Reasons

If you need to change a redaction reason for any object, click “edit” in the object detection panel and select a new reason.

Generating Reports

  1. Print Reports: Click the print reports button at the top of your workspace.
    • Standard Report: Shows all actions taken on a file, including metadata and file log. Displays requestor name, case number, and request date.
    • Exemption Log: Lists time points of redactions, reasons, and legal basis. Automatically created with accuracy for immediate download.
    • Object Detected Report: Lists all detected objects with frame count and confidence level.
  2. Adding Missing Information:
    • If you forgot to add project information initially, pin the file log panel on the right side of your screen and click edit to enter requestor details.
  3. Agency Logo: Add an agency logo via tools > settings by clicking “browse” to upload an image.

Audio Redaction Reasons

  • Mute Audio Panel: Click the mute audio button on the left-hand side to open this panel and manually select audio redactions. Choose reasons before applying redactions.
  • Automatic Transcription: Mute/bleep from transcription and select redaction reasons from the mute audio panel.

Additional Reports

  • Analytics Report: Displays everything in the analytics panel.
  • Word Cloud: Provides an overview of conversation content; frequently mentioned words appear larger.
