Building and Using Redaction Lists in CaseGuard Studio

CaseGuard Studio allows users to create a list of information they want redacted from their document files. You can build a list once and apply it to as many files as you like, with no limit.

Creating a Redaction Project

  1. Create a Project: Add a document file to your project.
  2. Pin Analytics Panel: Once your file is added, pin the analytics panel.

Building a Redaction List

  1. Access Find & Redact List: At the bottom of the analytics panel, click on the Find & Redact List icon. You can build a new list, use an existing one, or manage your lists.
  2. Name Your List: For this example, name it “Email and SSN” list.

Options for Building a List

  • Add Items Individually: Enter items one by one.
  • Import a List: Use a CSV or TXT file to import a list, which is useful if your organization already has lists of names, phone numbers, or other PII.

Adding Information to Your List

  • Exact Words or Patterns: Search for exact words (e.g., someone’s name) or patterns (e.g., email addresses).
  • Built-in Patterns: Use built-in regex patterns or add your own using the “+” sign.
  • Redaction Details: Add a redaction reason and select the color of your redaction box. Click Save & Add New.

For example, add the word “she” to redact all pronouns, ensuring “whole words only” is selected to avoid partial redactions (e.g., “seashell”). Also, add names like “Nika.”

Running Your List on Files

  1. Analyze Files: Run your list on files by selecting “Analyze.”
  2. Redact Information: The analytics panel shows how many pieces of information were found. Click the paintbrush icon at the top to redact everything in one click.

All information behind redaction boxes is permanently removed. Numbers on top of boxes indicate redaction reasons.

Exporting and Reviewing Redacted Files

  • Open in Adobe: Open your exported file in Adobe. Hover over redaction boxes to see why information was redacted, with reasons listed on the right-hand side.

Bulk Processing with Your List

  1. Bulk Processing Icon: Click this icon at the top of your screen.
  2. Select Operation: From the operation drop-down menu, choose “Redact document.” Add as many files as you like.
  3. Redact Document Settings: Select “Perform Text Analysis” and choose your created list from the drop-down menu.
  4. Export Option: Opt to export files after redaction is applied. Click Start to begin bulk processing.
